The First Doppelgänger
Aegis

Aegis. Your AI Assistant Manager.

Aegis is Quria's first doppelgänger — an AI employee with a defined operational role. It handles the administrative coordination of running a shift-based business through the channels your team already uses: text message and email. No new app to install. No new dashboard to learn. You text it like you'd text a good employee.

Aegis is an AI employee — not another piece of software.

The distinction matters. Most AI scheduling tools are dashboards with chatbots bolted on. Aegis is built the other way around: an operational decision-maker that uses your data, follows your rules, and communicates with your team the same way a real assistant manager would.

Aegis is not
  • A chatbot
  • A scheduling app to click through
  • A passive assistant
  • Generic AI bolted onto a dashboard
  • A hardcoded workflow
  • One-size-fits-all software
Aegis is
  • An AI employee
  • An operational decision-maker
  • A team member with a defined role
  • An engine that knows your team and rules
  • A system that reads your configuration
  • A doppelgänger built around your operation

What Aegis actually does.

Aegis handles eight categories of operational work — the most repetitive and time-consuming coordination tasks a service-business manager faces every week. Tap any item to expand.

01 Schedule Building
Text Aegis "build next week's schedule" and it loads everything it needs — employees, availability, approved time-off, shift requirements, conflicts, policies, special notes, wage rates — then assigns staff based on qualification, availability, hour fairness, and your rules. Every unfilled slot comes with a specific written reason. Coverage rate, staffing report, and wage estimates land in Homebase for your approval before distribution.
02 Emergency Coverage
"Marcus just called out — who can cover?" Aegis identifies the shift, builds a tiered candidate pool (qualified and available first; overtime risk second; already-scheduled third), and returns top candidates with names, hours-this-week, and tier. On your go-ahead, it reaches out sequentially via SMS with an urgency-scaled response window. When someone accepts, the rest are notified the shift is filled. Every action is logged.
03 Time-Off Management
Employees text their requests in plain language. Aegis parses, confirms the dates, runs a two-stage coverage simulation (without writing to the database), and emails you a professional summary with one-click Approve or Deny. You decide. Employee is notified. Homebase is updated. Aegis never approves time-off on its own — the manager makes the final call.
04 Shift Swaps
Two modes. Directed: an employee names a specific colleague and Aegis validates the swap — qualification match, no conflicts, no overtime, notice period — gets both parties to confirm, routes to you if your policy requires approval, and executes. Facilitated: an employee asks Aegis to find someone, and Aegis works through a qualified candidate pool until someone accepts. Schedule and wage estimates update automatically.
05 Schedule Distribution
Text "distribute the schedule." Aegis sends every active employee a personalized HTML email with their shifts for the week and an SMS notification. Employees without email get the full schedule via SMS. Anyone unreachable is flagged for you to handle. The schedule is marked published and timestamped in Homebase.
06 Ask Aegis Anything
Any question that doesn't match a workflow is an operational query. "Who's working Saturday?" "Is anyone close to overtime?" "How many hours has Jordan worked this week?" Aegis figures out what data it needs, fetches it from Homebase, and answers. Manager-tier access is full; employees are scoped to their own schedule and can't query peers' hours or pay.
07 Homebase Edits by Conversation
Change anything in Homebase by text or email — employee records, contact info, roles, hours, wages, shift requirements, policies, rules, schedule assignments. Aegis confirms every write by showing the current value and the proposed change before executing. One change at a time. Schedule edits trigger automatic wage recomputation.
08 Employee Onboarding
Text "onboard my team" or "onboard [name]" and Aegis conducts a structured 7-step SMS conversation with each employee — name, validated email, role, availability in natural language, AI-classified confirmation, upcoming time-off, completion. When onboarding multiple people at once, Aegis shows you the full list and waits for your confirmation before texting anyone. No accidental mass-SMS. Low availability is flagged automatically.

Three levels of access. Recognized automatically.

Aegis knows who's contacting it — by phone number or email — and applies the right access level the moment a message comes in. No logins. No password resets. No employees stumbling into manager-only data.

Employee
Their own info only
Submit time-off, initiate and respond to shift swaps, respond to coverage outreach, update availability (with manager approval), and ask questions about their own schedule. Cannot see peers' hours, wages, or schedules.
Manager
Full operational access
Run every workflow — schedule building, distribution, time-off processing, emergency coverage, payroll checks, operational queries, Homebase edits by conversation, employee onboarding. The complete operational picture.
Quria Admin
Platform-wide
Unrestricted access across all clients. Broadcasts to any audience at any client, cross-client diagnostics, platform-level operations. Identified in a secure table — cannot be spoofed by message content.

Talk to it like an employee. Get an employee back.

Aegis communicates like a capable, professional assistant manager who knows your operation:

  • Direct and confident. No unnecessary preamble. No "I'd be happy to help you with that."
  • First-person. "I'll reach out to them," not "Aegis will reach out."
  • Operationally sharp. Specific information. Names. Hours. Reasons. Not vague acknowledgments.
  • Not chatty. Every message has a purpose. It doesn't fill space.
  • Honest. When it doesn't know, it says so — rather than guessing.
  • Personalized. Uses company name and employee names naturally.

Building next week's schedule.

Here's what a manager-Aegis conversation actually looks like when it's time to build a schedule.

You · Sunday 9:14 AM Build next week's schedule.
Aegis · 9:14 AM Building the week of May 25–31. Loading availability, approved time-off, and rules now.
Aegis · 9:15 AM Schedule built. 96% coverage — 142 of 148 slots filled. 6 unfilled: 3 PM lifeguard shifts (no available certified staff), 2 conflict with approved time-off (Anna and Jordan), 1 would push Cole over overtime. Full staffing report and wage estimates saved to Homebase. Ready to distribute when you've reviewed?
You · 9:22 AM Reviewed. Distribute it.
Aegis · 9:22 AM Distributing now. Sending personalized schedules to 28 employees via email + SMS. I'll flag anyone unreachable.
Aegis · 9:24 AM Done. 27 delivered. 1 unreachable: Sam Reyes (number on file is disconnected). Want me to email him only, or flag for follow-up?

No app. No dashboard. No new system to log into. Just the conversation you'd have with a capable employee — except this one runs 24/7.

Aegis is half the system.

Every decision Aegis makes pulls from your data, your rules, and your operational history — all of which live in Homebase. The two are inseparable. See how it all connects.
